1. You, your bookkeeper or your office manager handles all the day-to-day financial business with little to no oversight.

A separation of duties is defined as having more than one person required to complete a task.   Auditors frequently review a company’s process for handling money to ensure that there is a good segregation of duties.  Their objective is to limit the opportunity for internal fraud.  For example, the person who receives the money should not be the person who makes the deposit.  The person receiving and recording the vendor bills should not be the person to cut the checks.  In small businesses, keeping these responsibilities separate can be a challenge.

Transparency is very important.   If you ask your Bookkeeper/Office Manager a financial question and you get vague answer, that is a red flag.  Vague answers could mean they are trying to hide something (such as fraud) or it could be as simple as they did not know how to get the answer.

Mistakes are not intentional but can negatively impact your decision making. If your Bookkeeper/Office Manager has little to no oversight you risk producing financials and taxes with incorrect information.  

4. Something is wrong with the data coming out of your QuickBooks file and your bookkeeper can’t figure out what happened.

While not always obvious, an incorrect setup or the process of data entry can skew the quality of data presented on Quickbooks reports.
